This catering manual describes the services and menu options available for catered events from the Food and Nutrition Department. We will be happy to arrange a special menu for any requested event. Please allow us the opportunity to provide a full service menu through a Catering Consultation.

The catering staff wants your event to be a success. Please be sure to complete your departmental account number and the purpose of your meeting. If you are a Washington University Customer, please put your Washington University Department Number as your bill to account number. The Accounting Department needs this information for proper billing and IRS compliance. All catering requests should be sent be completed through Catertrax online ordering system no later than 48 hours prior to your event. For all events, please provide a contact name and telephone extension when making your catering request.
To assist you properly, we ask that room reservations and special seating arrangements be reserved through Penny Rauls. Penny may be contacted at 362-1407. If you have any questions regarding set-up and clean-up time, please contact Penny Rauls at 362-1407. Please advise the Catering office to your exact requirements for meeting room set-ups.
In arranging for private functions, the final attendance must be included on the original request placed in Cater Trax and 48 hours prior to the commencement of the function. This number will be considered a guarantee, not subject to reduction, and charges will be made accordingly. Should the number of guests decrease, you will be charged your original requested amount unless the Catering office is given 48-hour notice prior to your event. Any changes or cancellations within 48-hours of you event will result in a 10% surcharge. These changes include an increase in the number of guests or a menu change. No food or beverage of any kind will be permitted to be brought into Queeny Tower Conference Rooms, nor the C Ray Holman Board Room by an outside caterer. Customers agree to be responsible for any damages or loss of equipment by the customer, guests, invitees, employees, or any other agent under Customer’s control.

When extra set-up or service staff is requested or required for catered events scheduled after 5:00 p.m. Monday through Friday, holidays, and weekends or additional staffing is required for larger catering events.
Meals served on China will incur a 20% service charge.
Meals served on China for mobile catering will be incur a $2.00 per person additional charge.
Catered events that require rentals will also incur additional charges based on the actual cost of the items rented.
